We're happy to have you as a participant at Ladies' Night Out.
Here's what you need to know:
Set-Up
- 2:00PM for pop-up vendors setting up in a Ladies' Night Out "mini-mall" at Five 1 Five Realty or Webster City Area Chamber of Commerce office may begin set-up on Thursday, October 12th at 2PM. Table space is approximately 8'. The chamber will not assign locations until closer to the event date. Stay tuned! Please communicate if you have a designated location already determined.
- Pop-up vendors selling in another brick-and-mortar store may set up anytime an make their own arrangements with event host.
Vendor Registration
- Registration for vendors is open and ongoing. Any vendors registered after September 22nd may not be included in all event materials, due to printer lead times. Encourage your friends and colleagues to sign-up today!
- Part of the draw for Ladies' Night Out is the grand prize package. Each participant needs to contribute a prize of a total value of $25 or more to be included in the grand prize drawing. Please bring to the chamber office, 628 Second Street, by Monday, October 2nd.
- The punch card is back! In an effort to encourage attendees to visit a variety of shops, we are incentivizing attendees to complete a "punch card." Retailers and vendors and initial or X off their store upon request. A punch card is considered "full" with 10 or more stops checked off. The card can be returned to the chamber office or turned in with drawing registration slips. Thank you to Five 1 Five Realty for sponsoring this incentive. Our event sponsors help us go into this event with a marketing budget, and make more intentional media buys and marketing choices.
- In year's past brick-and-mortars paid a higher vendor registration fee and all pop-up shops hosted in their location were included in the marketing. THIS IS A CHANGE - All participants need to register separately to be included in the event marketing, map, social media, press releases, etc. This is helps keep the event registration fee low.
Attendee Registration
- Event registration for attendees helps boost traffic the night of the event. Registration is live and the first 100 attendees will be offered a complimentary swag bag. Swag bags will be available for pick-up at the registration table at Five 1 Five Realty. Participants are encouraged to add small token items, coupons, or promotions. Please bring to the chamber office, by Monday, October 2nd to be included.
- New this year! We are working on a collaborative project with Swon & Co to offer a commemorative Ladies' Night Out tumbler along with the complimentary swag bag for an additional $14. More details to be released soon!
Saturday AM Fashion Show
- We're excited to offer a fashion show in collaboration with Webster City's local apparel retailers on Saturday, October 14th at 10:30. Participating retailers should be prepared to secure 3 models for outfits and provide show notes for the fashion show emcee. Contact Sarah Orton of Denim & Babes or the chamber office at (515) 832-2564.
- Seating capacity is limited for the Ladies' Night Out fashion show and brunch. If you plan to attend reserve your seat today. New this year! There will be a very limited number of VIP seats available at the fashion show with preferred seating and a gift. Registration link is live now on our website.

The Large Giveaway Drawing!
This is very important
A hallmark of the Ladies' Night Out event is the large prize package giveaway. This is a prize package comprised of contributions from our participants. The idea is -- You can have all your Christmas shopping done by Ladies' Night Out!
The chamber will provide paper slips and a receptacle to collect entries, if necessary. Shoppers earn an entry with every $20 spent.
Last year, due to our overwhelming participation last year, in 2022, the prize package was broken into a large Thursday prize and two smaller prize packages on Friday and Saturday.
Don't forget this part!
Registration slips from Thursday, October 12th MUST be turned into the chamber office by 10AM on Friday, preferably 8PM on Thursday the 12th. Chamber volunteers may not be able to visit every location to retrieve the entry slips. Please make an effort to get the registration slips turned in so they can be part of the giveaway drawing Friday, October 13th at NOON.
Registration slips from Friday, October 13th and Saturday, October 14th need to be returned to the chamber by Monday, October 16th by Noon.

It Takes a Team Effort!
Promote, Promote, Promote
The chamber uses our sponsorship money and registration fees to purchase large media buys for the Ladies' Night Out event. Last year, we very much experienced a "bandwagon" effect with our promotion and as the anticipation built we began to see more and more vendors and local retailers participate.
Our traditional media buys won't start appearing until a few weeks before the event, but we could use your help reaching your own networks and customers.
All paid vendors and retailers will receive a Canva link with copies of event templates they can customize. Layer in your logo, add your hours, and pop in pictures of your inventory!
Easy ways to help amplify the Ladies' Night Out event anyone can do:
- Share Ladies' Night Out on your Facebook, Instagram, and feeds.
- Distribute flyers in rural areas
- Post in our event page
- Share your friends! Pop in photos on the templates of your favorite things from other vendors
- Send us press releases and detailed information on special products, promotions, or activities you may have throughout the event.

Post-Event Wrap-up!
In order to calculate the economic impact of the event, we are asking our participants to share an approximate sales figure. This is an effort to be able to accurately communicate the value of the chamber and garner sustaining support for retail events. In the past, this number has been calculated as an estimate based on the number of giveaway drawing entries returned. As technology advances and most of our vendors have moved to a POS or digital sales platform, we are asking to do-away from the cumbersome approximation.

Emily Ely, WCF Financial Bank, and Kasie Westrum, Lee Mae Boutique, help collect registration slips on the Friday following Ladies' Night Out. This year we have opted out on the data collection due to workload. Instead there will be signs with QR codes encouraging shoppers to opt-in to the newsletter.
